Talent Acquisition Administrator

The Talent Acquisition Administrator supports the efficient and effective operation of the Talent Acquisition team. This position supports recruiters and hiring managers throughout the recruiting process, from opening/closing a requisition to New Employee Orientation. The successful candidate will have excellent people skills, strong organizational skills, and solid PC/technical skills, will be social media savvy, will have a good sense of humor, and will excel in a fast-paced environment.
Duties and Responsibilites
- Assist Hiring Managers with process for Requisition Approval (Requisition Template, Job Description and Budget Approval)
- Create and manage job postings on our various job sites (i.e. LinkedIn, Career Builder, DICE, Zip Recruiter, etc.)
- Reach out to vendors & coordinate temporary staffing needs.
- Make follow-up phone calls to qualified candidates.
- Update and maintain internal job posting lists and employee job boards.
- Assist external candidates by providing updates on grand opening store interviews, hiring practice information and redirecting candidates to appropriate field team.
- Monitoring end-to-end recruiting and hiring practices to ensure the company is compliant with government regulations and organizational policies and procedures
- Running and maintaining recruitment reporting/dashboards and striving to meet department KPIs
- Supporting the effective Project Management of all recruitment related initiatives
- Working cross-functionally across all HR functions as appropriate to support the over HR strategy
- Abide to the Code of Business Conduct and Ethics Policy.
- Ensure compliance with internal controls as applicable to your function within the organization.
Candidate Interviews
- Help coordinate scheduling of candidates interviews.
- Coordinate day of candidate interviews at the corporate office (escorting to and from interview)
On-Boarding
- Keep and coordinate the collection of new hire paperwork as received
- Draft offer letters, welcome letters and miscellaneous new hire paperwork as requested.
- Collect new hire packets and provide to HRIS for processing.
- Support Re-Hire Requests for Corporate & Field
Background
- Process all background checks and provide requestor with results.
- Track background requests that are submitted, in progress, and complete
- Coordinate results with HRIS, Store & Field HR Operations.
New Hire Orientation
- Coordinate with Recruiter on start date for orientation
- Send emails with orientation details to new employees
- On orientation day go over paperwork and general information with employee
- Brief tour of Store Support Center
- Take employee to get badge and with supervisor when finished with orientation
Miscellaneous Updates
- Update time to fill metrics, new hires and job status updates for current and closed openings.
- Assist hiring managers on providing appropriate documentation for promotions, transfers and rate adjustments.
- Assist with updating company org charts
- Plan employee special events
- Abide to the Code of Business Conduct and Ethics Policy.
- Ensure compliance with internal controls as applicable to your function within the organization.
- Manage/ Audit all Talent reports
Qualifications and Requirements
Education Required: High School Diploma
Knowledge/Skills/Experience Required:
· Solid PC (Microsoft Office) and technical skills
· Social media savvy
· Strong attention to detail
· Able to handle confidential information Excellent communication skills: both oral and written, with strong negotiating and conflict management skills
· Knowledge of recruitment/placement laws and practices.
· Excellent organization skills and ability to function and adapt in a high demand and changing environment
· High level of customer service and relationship management, with excellent interpersonal skills
· Strong Planning and Prioritizing skills, with solid follow up abilities
· Strong knowledge of applicant tracking systems (i.e. OpenHire, Ceridian, Taleo etc)
